The short version
- FDNY Calendar is an independent app. It is not affiliated with or endorsed by the Fire Department of the City of New York (FDNY).
- You can use FDNY Calendar without an account. Your calendar then stays on your phone or in your browser.
- If you create an account, we keep your profile and your calendar on our server so it can sync between your devices and be restored from a backup.
- We do not sell your information, show ads, or use analytics or tracking tools.
- You can delete your account in the app at any time, which removes your profile, synced calendar data and backups from our server right away. Without the app, use our Delete Your Account page: your account is locked at once and everything is erased 14 days later.
1. Information we collect
If you use the app without an account
Your calendar entries, colors and settings are saved only on your device (or, on the website, in your browser's storage). They are not sent to us. Guests can save a limited number of entries.
If you create an account
- Profile: email address, first and last name, duty status, address (street, apartment, city, state, ZIP), year hired, and phone number (optional).
- Password: stored only as a one-way encrypted hash. We cannot see your password.
- Sign in with Google or Apple (optional): Google or Apple tells us your name, your email (with Apple you can choose a private relay email) and an account ID that stays the same each time you sign in. We keep that ID linked to your account so you can sign in again. We never see your Google or Apple password. You still fill in the same required profile as everyone else. For Apple, we also keep a token so that deleting your account also ends Sign in with Apple for FDNY Calendar.
- Calendar data: the entries you save (such as Type, name, notes, hours, status, categories and times), your cell colors, and your calendar settings (such as group highlight rules and saved names), and the house tax amounts, payments and fees you enter on the Paycheck page. These are stored on our server so they sync between your phone and the website.
- Restore points: the app saves a copy of your calendar data about once a day, and you can save one yourself. We keep your 5 most recent copies.
- Import from the old app (optional): if you choose Import from the Old App and enter an email, we look up that email in the old FDNY Calendar app's database and copy its saved calendar days and group settings into your account. Nothing else from the old app (such as its profile or address) is copied, and nothing is sent to the old app.
- Sign-in sessions: when you sign in, your device keeps a sign-in token. It lasts up to one year or until you sign out.
If you contact us
When you send a message with Contact Admin, we receive your name, email address, the topic and your message by email. To help us answer, the message also includes:
- App details: app version, platform, operating system, device model, screen size, time zone and how many entries you have on each calendar.
- If you are signed in: your account details (name, email, duty status, year hired, phone, when you joined) and how much data you have synced and backed up.
- Your IP address and browser or app identifier.
The app shows you these details before you send.
The Contact Admin form on fdnycalendarapp.com sends only your name, email address, topic and message, plus your IP address and browser identifier.
Technical information
- We use your IP address to limit repeated sign-in attempts, password reset requests and contact messages. These records are deleted within one day.
- Like most websites, our hosting provider keeps standard server logs (such as IP address, date and time, and the page requested) for security and troubleshooting.
2. Phone permissions
Calendar (optional, phones only). If you allow it, the app adds events to your phone's calendar:
- Your saved days go in a calendar called "FDNY Calendar".
- If you turn on group numbers for a chart, they go in a calendar for that chart.
When you hold a date to edit it, the app also reads that one day's events from your phone's other calendars and shows them in the edit window (title, time, location and calendar color). These events stay on your phone: they are not saved by the app and not sent to us. You can turn either option off in each calendar's Settings, or remove the permission in your phone's settings. Turning an option off removes the events the app added.
Notifications (optional, phones only). If you allow notifications, you can turn each kind on or off in Settings:
- Announcements and New Department Orders are push notifications. Your phone gets a push token (a random ID used only to deliver notifications) from Apple or Google through Expo, and the app sends it to our server with which of these two you want. If you are signed in, the token is linked to your account so an announcement can go to a duty status. Messages are delivered through Expo, Apple and Google. Turning both off removes the token from our server.
- Reminders for your calendar entries are scheduled on your phone itself. Nothing about them is sent to us.
The app does not use your location, contacts, camera, microphone or photos.
3. How we use your information
- To provide the app: show your calendars, sync them between your devices, and keep restore points.
- To manage your account, including sign-in and password reset emails.
- To answer your messages and fix problems.
- To protect the service from abuse.
We do not use your information for advertising, and we do not build profiles of you.
4. Outside services
- Maps: the Unit Map and Box Search show map images from OpenStreetMap. Your device downloads those images directly from OpenStreetMap, which receives your IP address (see the OpenStreetMap Foundation privacy policy).
- News: our server gets news headlines from Google News. Your device does not contact Google for this. When you tap a story, it opens on the publisher's website, which has its own privacy policy.
- Department Orders: our server gets the list of FDNY Department Orders from nyc.gov. Your device does not contact nyc.gov for the list. When you open an order, the PDF loads directly from nyc.gov, which receives your IP address. Which orders are "New" is worked out on your device only.
- Reference lists (10-codes, units, alarm boxes, runs and workers) are downloaded from our server and do not include any personal information.
- App stores: Apple and Google handle downloads and updates of the app under their own privacy policies.
- Hosting and email: our server and email are run by our hosting provider, which stores the data described above on our behalf.
5. Sharing
We do not sell, rent or trade your personal information. We share it only with the service providers listed above as needed to run the app, or when required by law.
6. How long we keep it
- Account, calendar data and restore points: until you delete your account. Only your 5 most recent restore points are kept. Deleting in the app erases them right away; a request on the Delete Your Account page erases them 14 days later.
- Password reset codes: expire after one hour.
- Sign-in, reset and contact limit records: deleted within one day.
- Contact messages: kept in our email inbox as long as needed to help you.
- Data on your device: stays until you delete the app or clear your browser's data for the website.
7. Your choices
- See and change your profile: in the app under Settings.
- Delete your account: in the app under Settings. This immediately deletes your profile, synced calendar data, restore points and sign-in sessions from our server. Copies already on your devices stay there until you remove them.
- Delete your account without the app: on our Delete Your Account page. We email you a code to confirm it's you. Your account is then signed out everywhere and locked right away, and your profile, synced calendar data and restore points are permanently erased 14 days later. To stop it during those 14 days, email us at the address below.
- Phone calendar: turn it on or off in each calendar's Settings.
- Use without an account: nothing about your calendar is sent to us.
- Other requests: email us at the address below and we will help you.
8. Security
Data between the app and our server is sent over encrypted connections (HTTPS). Passwords are stored as one-way encrypted hashes. No system is perfectly secure, but we work to protect your information.
9. Children
FDNY Calendar is meant for adults. It is not directed to children under 13, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
10. Changes to this policy
If we change this policy, we will update it on this page and change the effective date above. If the changes are significant, we will let you know in the app.
11. Contact us
